Supervision Policy - Residential

Hayfield believe that Supervision is essential on a regular basis for the support, development and well-being of all staff.

All Full and Part-time Residential Care Workers, 1-1 Support Workers and Care Support Workers on the permanent pay roll will be given supervision.

Supervision will be given to Relief Residential Care Workers as often as is feasible and if requested or required.  Team Leaders and Residential Care Workers will give Relief staff ongoing input and  support.

Supervision for Residential Secretary, Team Leaders and Residential Care Workers will be 6 weekly unless either party has annual leave or is on sick leave.  There is an expectation that there will be at least 6-8 recorded supervision sessions in any 12 month period.

Supervision for Relief Residential Care Workers will be undertaken by the back shift Team Leader on the floor at a time convenient to the service and its users.

 

Supervisions will be given as follows...

  • Residential Manager to Residential Secretary and Team Leaders - (4)

  • Team Leader (Ballater Street) to Ballater Street Residential Care Workers - (6)

  • Team Leader (Cowcaddens) to Cowcaddens Residential Care Workers  4/2 4/3 & 4/4 - (6)

  • Team Leader (Tollcross & Garfield) to Tollcross Residential Care Workers - (3)

  • Team Leaders to 1-1 Support Workers and Care Support Workers

  • Team Leaders (All Residences) to Relief Residential Care Workers

  • Domestic staff will be supervised quarterly, but can request more regular meetings if required.  

  • The Ballater Street Domestic staff will be supervised by the Ballater Street Team Leader.

 

Supervision for permanent staff should last 1 hour – 1 hour 15 minutes.

Supervision for relief staff should last half to three quarters of an hour.

Supervision must include as the main point, discussion about the person themselves.  This may include their concerns, frustrations, emotional well-being concerning the work, but also private and personal issues (if desired to be discussed by staff member).

Thereafter, the supervisee will present an Agenda. 

The supervisor must address and record issues of poor working practice, specific areas to be improved and training needs. 

The supervision should be recorded on the relevant form and submitted to the Manager for filing in Personnel Files.

The supervision will be confidential to Supervisor and Supervisee, and Residential Manager, although the Director may read if necessary or for quality assurance purposes

Points to action must be recorded and followed up within a reasonable timescale. 

Points not addressed, followed up or actioned will be recorded at subsequent Supervision sessions. 

Repeated non-action of points will result in an additional meeting with the Manager.

In exceptional circumstances the Director may be involved.

Supervision is important !   Both parties are responsible for ensuring sessions occur regularly, are in-depth, fully recorded and signed as an accurate record.

 


Relief Staff Supervision

It is acknowledged that regular supervision for Relief Bank Residential Care Workers is difficult to operate.

There are two main reasons for this...

  • Relief staff are on the floor to work with service users and are seldom available at time slots when service users are not present.

  • If Relief staff are not used for several weeks or months, they are not available for supervision, nor likely to have issues to raise.

With this in mind, the following system will operate.

When the 3 week rota's are being made up, any Relief staff on with a team leader on back shift will be rota’d for supervision, once in a 3 month period.

The task of supervision for Relief staff will be allocated to the three Team Leaders.

The Tollcross Team Leader may be allocated a slightly higher number due to lower number of Permanent staff supervisions.

If a particular Relief member of staff has been working regular relief shifts and has not received supervision for more than 4 months, any Team Leader, or the Manager will make a special arrangement to give that person supervision, where practicable.
