Staff Sickness Procedure - Residential

Steps to take during periods of ill-health…

  • If you are on duty and experience an accident or feel unfit for duty, please contact a senior member of staff on duty / on call by telephone.  Do not leave the premises without their knowledge.

  • If unwell, please contact senior staff at the earliest possible moment before 9.30 a.m.  This will enable senior staff to arrange cover for you if necessary.

  • Only communicate with Manager, Depute, Team Leader or Director.  If none of these are available, the residential secretary.

  • Do not rely on basic grade staff to relay the message.  Please contact the senior residential staff on duty or on-call at weekends.  It will be their responsibility to inform others and arrange cover.  If the Director receives the message, he will pass this information on immediately to the senior who is on duty / on call that evening / day.  If senior residential staff are on day shift, it will be their responsibility to arrange cover.

  • Please try to telephone in yourself.  Senior staff require certain information for personnel records and can clarify any late sick lines, etc.  The residential management team are concerned about their staff's health difficulties and appreciate the opportunity to talk to you directly.

  • Company Sick Lines are required for all sick leave and, after a period of 7 days, a doctor's certificate is also required.

  • Regular contact with your employer / senior staff is encouraged.

  • After a lengthy period of illness, each member of staff's illness will be regarded independently, a medical check-up by Hayfield’s chosen consultant may be requested.

  • Statutory Sick Pay will be calculated by the Director, if required.

  • When you have recovered, it is in your best interest to telephone in, stating that you are 'fit for work' even if you are not scheduled to work.  Your accumulative sick leave will stop being calculated from the day that the message is received, providing that it is before 10.00 a.m.

  • Please ensure that your doctor’s certificates are handed/posted in promptly.  If not, it will be recorded that the procedure has not been followed.  This may result in being recorded as 'absent without leave' and Hayfield reserves the right to withhold all sick pay which would otherwise have been due.

  • On return from sickness, you must attend a “return to work interview” with Manager or Depute as soon as possible and no later than the following Wednesday.
