Job Description – Day Care Manager
Accountability
The post will
be accountable in the first instance to the Director and thereafter to the Board
of Directors.
Agency Description
Hayfield
Support Services is a community based unit which is specifically geared towards
meeting the needs of hearing impaired people who experience problems of a
social, emotional or psychological nature. The service comprises Day Care and
Residential facilities. The referrals, male and female, aged 16 and upwards,
come from Social Work and Social Services Departments throughout the United
Kingdom. Prospective service users are admitted for a six week (minimum)
assessment period in order to determine appropriate provision for their specific
needs.
The Day Care
department consists of six groups in which service users, depending on their
level of capabilities and supervision requirements, are allocated to the most
appropriate group. From this base they are encouraged to develop their skills
through College and Outreach courses as well as from the input from experienced
staff, qualified in a number of areas of expertise.
Similarly,
the input of the residential setting is structured and offers various
opportunities for development. The initial stage offers full supervision and
each service user is encouraged to participate in all aspects of daily living.
The aim is to promote independence and quality of life by providing stimulation,
training and support in all areas.
The Role And Expectations Of The Day Care Manager
The Manager
will have overall responsibility for the functioning of all the Day Care
Services as part of the Hayfield organisation and reports directly to the
Director. The Manager will also be responsible for the development of the
services offered and ensuring that they meet the highest standards of social
care. The Manager will ensure the aims and objects of Hayfield are maintained.
Specific Responsibilities
Health & Safety
-
The
Manager will have overall Health and Safety responsibility and to oversee
the Depute and staff in all aspects of ensuring the health and safety of
service users, staff and visitors within the premises. This includes
ensuring the following are completed, inspected and monitored.

The
security/administration of medication, if required,
-
Fire
regulations, fire drills, the testing of the system and ensuring those
records are correct.
-
All
safety and security aspects within the building and the equipment are sound.
-
Appropriate action in the event of an accident and also to guide other staff
to take appropriate action and monitor that proper records are maintained.
-
That the
general welfare of the service users, such as hygiene, nutrition and medical
care are observed.
Service User Group
-
To offer the necessary
direct support for the proper development and enjoyment of the service users
within each group. This would include guidance, assistance and assessment
with aspects of training, behaviour and language development.
-
To act as a support to
Depute and day care instructors for all service users in order to help
identify their needs, plan appropriate goals, and work to implement them in
order to meet these needs. To co-ordinate and monitor the service,
supporting and guiding Depute and all staff members to improve standards of
practice.

To attend Admission
Meetings for assessment candidates. To welcome and settle them into the new
environment and to ensure the implementation and completion of their six
week assessment programme, care and work development plan and
recommendations.

To support newly
admitted full-time placement service users in their new environment.
-
To be involved at
twice yearly reviews/case conferences/internal meetings.
-
To monitor, with
Depute, that day care instructors record their work and submit review
reports and care and work development plans and results appropriately.
-
To ensure, with
Depute, that service user confidentiality is adhered to at all times and
that confidential information is locked away and all staff are entrusted to
keep private the affairs of service users.

To ensure that all
records are maintained accurately and regularly using the systems designed.
-
To promote and
encourage good relationships between service users.
-
To take positive steps
towards resolving any behavioural problems or any instance of challenging
behaviour and to meet with service users when problems occur in day care.
-
To be aware of each
individual’s communication needs, and to observe and identify, with Depute
and staff, areas of difficulty and develop and co-ordinate programmes in
order to develop and enhance these skills.

To ensure Service User
Forums are held regularly to enable service users to air their opinions,
ideas, and to follow up any items on their agenda which they or the
depute/staff indicate require attention.
-
To ensure, with
Depute, each individual has a full understanding of the complaints procedure
and when and where to use appropriately.
-
To liaise with outside
agencies for advice, support and training.
-
To update service user
information and Policy and Procedures as required.
Staff
-
To provide leadership
and guidance to staff from the recruitment and selection process, as well
as managing a team comprising a Depute Manager, Day Care Instructors,
Administration staff and Domestic staff including a Cook and Handyman:-

By regular supervision
sessions and recording of same, with the support of Depute.
-
By providing support
and training where necessary for Depute and staff development.
-
Ensuring all staff
records are kept up to date, holiday requests, cover for illness,
time-keeping and attendance, sick lines, etc.
-
To contribute to the
induction and training of any new staff within the Service.
-
To prepare and be
involved in evaluations, observations and Staff Appraisal.
-
To undertake “Return
to Work” interviews after staff sick leave, with the support of Depute.
-
To participate in
grievance and disciplinary matters as appropriate.
-
To ensure sign
language, First Aid, Health & Safety & CALM tuition is organised and
undertaken by all staff and revised as required, as well as organising other
training for development.
-
To update and develop
staff Policy and Procedures information as required.
Use of Building
-
To ensure the Day Care
building is regularly inspected and maintained by:-
-
Co-ordinating its
maintenance and upkeep by reporting repairs promptly to contractor and
ensuring the work is completed satisfactorily for the safety and security of
the service users and staff.

Maintaining a high
standard of hygiene throughout the building.
-
Using and maintaining
all equipment and materials appropriately and to full advantage.
Routines
General Duties
-
To ensure Depute and
staff maintain appropriate financial and administrative records and submit
all records when necessary for checking and reconciliation.
-
To attend reviews, day
care team meetings and management meetings regularly and any other
additional meetings as required.
-
To regularly meet with
Depute and Director to discuss development, principles, administration and
structures of the department as a ‘Topic’.
-
To contact outside
agencies for advice, support and training where necessary.
-
To supervise the
Depute Manager, Administration staff and Handyman and any other staff in
need of Supervision.
-
To arrange six monthly
staff support meetings for new staff, annual Staff Appraisal for Depute,
Administration staff, Handyman and any other staff as necessary.
-
To undertake Staff
Appraisals, as per the current guidelines.
-
To promote Service
User Holidays, if practicable.
-
To ensure the smooth
running of the Day Care department.
-
To ensure staff
supervision occurs, as per the current guidelines.
-
To meet regularly with
the Director for Supervision and business meetings to discuss development,
principles, administration and structure of day care services.
-
To meet regularly with
the Depute and Director for discussion and development of the service.
-
To co-ordinate daily
with Depute and Day Care team.
-
To co-ordinate with
the Residential Department personnel.
-
To liaise with service
users’ social workers and families.
Emergencies
-
To respond to
call-outs in connection with the security of the building as necessary.
-
To be flexible to
cover Director’s duties during sickness/annual leave.
-
To meet the needs of
the staff/service users in the event of an emergency. It may be necessary
to be called at home if additional support is required.
Development
-
To lead the Day Care
Management and Staff Team in order to review and develop the service so that
a more efficient and effective service can be offered.
-
To meet regularly and
work together with the Hayfield Management team to co-ordinate, plan and
develop the highest quality of service to the users.
